Accounting integration

Xero for the books. SmartShopFloor for the factory.

Xero is excellent accounting software, but it was never meant to run a production floor. SmartShopFloor gives growing ANZ manufacturers the quoting, scheduling and operator tools Xero leaves out, and keeps the commercial side tidy in Xero.

Is it a fit?

Built for shops that have outgrown spreadsheets, not Xero

  • Your finance team is happy in Xero and does not want a full ERP migration.
  • Production is planned on whiteboards or spreadsheets that never match the books.
  • Invoices go out late because nobody is sure the job actually left the building.

Stays in Xero

  • Contacts and accounting records
  • Quotes and invoices you send
  • Payments, GST and reporting

SmartShopFloor adds

  • Job planning and scheduling
  • Operator tablets and time capture
  • Dispatch confirmation

How it works

The Xero workflow, step by step

  1. Step 1

    Quote in Xero

Your draft quote starts in Xero. Send it from Xero or from SmartShopFloor, and both show it as sent.

  2. Step 2

    Win and hand over

Mark it won in either system. SmartShopFloor turns the sale into a production job with the work and materials it needs.

  3. Step 3

    Make it

The job is scheduled, operators work from tablets, and progress is visible to the office without chasing.

  4. Step 4

    Dispatch, then draft invoice

When the order is fully dispatched, a draft invoice is prepared in Xero. Your team checks it and sends it.

Scope for Xero. Xero is accounting software, not a manufacturing ERP, so it does not hold production orders. Production detail lives in SmartShopFloor; Xero receives what accounting needs. We confirm exactly what is in scope with you before anything is configured.

Why manufacturers connect Xero

Invoice what has actually shipped

Tying the draft invoice to full dispatch helps avoid billing for work still on the floor.

No production module to bolt on

Add scheduling and shop-floor capture without moving off Xero.

A clear line for your bookkeeper

Finance keeps control of what is approved and sent.

Implementation & support

Nothing goes live until you approve it.

Connecting Xero is a managed project, not a switch. We agree the scope, including any additional ERP customisation needed for your sales-to-production handover, then prove it with your own jobs before switching over.

Managed service. Ongoing support covers SmartShopFloor and its agreed integration. Your ERP or CRM vendor continues to support their own product unless agreed otherwise. Service terms are set out in your agreement.

FAQs

Xero integration questions

Do we need to replace Xero to use SmartShopFloor?

No. Xero stays your accounting system. SmartShopFloor adds the production side that Xero does not cover.

Does SmartShopFloor send invoices to our customers automatically?

No. Full dispatch prepares a draft invoice in Xero. A person on your team reviews, approves and sends it.

Can we send quotes from SmartShopFloor instead of Xero?

Yes. Quotes start as drafts in Xero and can be sent from either system. The sent status is reflected in SmartShopFloor.

Will production orders appear in Xero?

No. Xero does not manage production orders, so job and production detail stays in SmartShopFloor. Your agreed scope defines what accounting information is passed back.

Is this suitable for a small fabrication or joinery shop?

It is aimed at exactly that kind of business: a team that runs its finances in Xero and wants the floor to be as organised as the books.
